Privacy policy

DRAFT: this is the privacy policy of [Registered company name], which trades as Rajasthan Luxury Tour. It was last updated on 16 October 2026. It explains, in plain language, what personal data we collect, why, how long we keep it and what rights you have. It is written with India's Digital Personal Data Protection Act, 2023 in mind and is awaiting legal review.

Who we are

Under Indian data protection law, the business that decides why and how your personal data is used is called the data fiduciary. For this website, that is us.

Rajasthan Luxury Tour is a trading name of [Registered company name], [company registration or CIN number], with its registered office at [Registered address]. We plan and arrange private journeys in Rajasthan and neighbouring parts of India. You, as the person whose data it is, are the data principal.

If you have any question about this policy or your data, write to our grievance officer, [Grievance officer name and email]. You can also use the contact details on our contact page.

What we collect

We collect only what you choose to give us, plus a small amount of technical information that any website needs to work.

When you send an enquiry

The plan form at the end of each page, described on our plan my journey page, asks for your name, email address and, if you wish, your phone or WhatsApp number. It also asks what draws you, when you'd like to travel, how many nights and who is travelling, and gives you a box to tell us how you like to travel. We also record the web page from which you sent the form, so we know what you were reading.

When you join our newsletter

We collect only your email address, and the date you signed up.

When you message, call or email us

We keep the messages and notes of conversations needed to plan your journey. If you contact us on WhatsApp, the service is provided by WhatsApp (Meta), and its own privacy terms also apply to that conversation.

When you book a journey

To book hotels, transport, flights, trains and permits, we need further details such as the full names of travellers, dates of birth, passport and visa details, and arrival and departure information. Hotels in India are required to record passport and visa details of foreign guests. If you tell us about dietary needs, mobility or health conditions so we can plan around them, we use that information only for that purpose, and only with your consent.

When you browse the site

Our servers record basic technical information, such as your IP address, browser type and the pages requested, to keep the site secure and working. We use only essential cookies, explained in our cookie policy. We don't currently use analytics or advertising cookies.

Why we use it

We use your personal data only for the purposes you gave it to us for, and we ask for your consent where the law requires it.

To reply to your enquiry and talk to you about your journey.

To design, quote, book and manage your journey, and to look after you while you travel.

  • To send you our newsletter, if you signed up for it. You can stop it at any time.
  • To keep accounts and records we are required to keep by law, such as tax and accounting records.
  • To keep the website secure and prevent spam and misuse.
  • To respond to lawful requests from authorities, and to establish or defend legal claims.

Who we share it with

We never sell your personal data, and we never share it for anyone else's marketing.

To arrange your journey, we share the details each supplier needs with the hotels, transport providers, chauffeurs, guides, airlines, railways and experience hosts involved. We also use service providers who process data on our behalf, such as our website host, email provider and messaging services: [list of main service providers and where they store data]. Some of these may store data outside India; where they do, we transfer it only as Indian law permits.

We may also disclose personal data where the law requires it, for example to government or law enforcement authorities, or to protect the rights and safety of our travellers, our team or others.

How long we keep it

We keep personal data only as long as we need it for the purpose it was collected, or as long as the law requires, and then we erase it.

Enquiries that don't lead to a booking: [retention period for enquiries, for example 24 months] after our last contact with you.

Booking records: for as long as tax, accounting and other laws require, currently [retention period for booking records].

  • Newsletter: until you unsubscribe, after which we delete your email address from our list.
  • Technical logs: [retention period for server logs].
  • If you withdraw consent or ask us to erase your data, we will do so unless the law requires us to keep it.

Your rights

Under the Digital Personal Data Protection Act, 2023, you have clear rights over your personal data. Exercising them is free.

To be told what personal data we hold about you, how we use it, and who we have shared it with.

To have inaccurate or incomplete data corrected, completed or updated.

  • To have your data erased when it is no longer needed, unless we must keep it by law.
  • To withdraw your consent at any time. This won't affect anything we did before you withdrew it, but we may no longer be able to plan your journey.
  • To nominate another person to exercise your rights if you die or become unable to do so.
  • To have a grievance resolved by our grievance officer, [Grievance officer name and email], and, if you're not satisfied, to complain to the Data Protection Board of India.

Security, children and changes

We protect your data with reasonable security safeguards, and we limit who in our team can see it.

If a personal data breach occurs, we will inform you and the Data Protection Board of India as the law requires. Our website is meant for adults. If a journey includes children, we collect their details from a parent or guardian and only to book their travel. We may update this policy; the date at the top will always show the latest version, and we'll tell you directly about any significant change that affects how we use your data.

This policy covers this website and our planning service. It sits alongside our website terms of use and our booking conditions. To read more about us, see our story.
